The contact form
The form uses your name, company, email address, subject and message to prepare an enquiry. The fields are required to generate a complete enquiry; you can also contact us directly.
The message is prepared in your browser. The website does not transmit these fields to a server or save them in persistent local storage. If email is configured, the button prepares an email in your application: it is only sent when you choose to send it.
Purposes and legal bases
Data from messages actually received is used exclusively to understand your enquiry, respond to it and follow it up, including preparing a service if you request one. It is not reused for newsletters or direct marketing, nor sold to third parties. When an individual requests a service for themselves, processing is based on pre-contractual steps taken at their request. For exchanges with a company representative or general enquiries, it is based on Voxis Technologies’ legitimate interest in responding to its professional contacts.
Recipients and retention
Recipients and processing providers: enquiries are received directly by the person responsible for Voxis Technologies. Where handling requires it, only relevant information is passed to people authorised to work on the enquiry. Email is hosted by Infomaniak in Switzerland.
Enquiries with no further action
Data is retained while the enquiry is being handled. If it does not lead to further action, the data is deleted as soon as it is no longer needed and, at the latest, on 31 December of the year following the last exchange relating to that enquiry.
If the enquiry leads to a service, the data needed to provide it is then governed by the provisions applicable to the contractual relationship. If a legal obligation or the establishment, exercise or defence of legal claims justifies further retention, only the necessary data is kept, with restricted access, for the period justified by that purpose.
Backups
Backups made by Voxis Technologies are hosted in France. They are retained no later than 31 December of the year following their creation.
Infomaniak email also includes its own backups. Deletion of messages from the active mailbox and expiry of backup copies follow separate cycles specific to the email service.
Browsing and hosting
The website does not include analytics tools, advertising, or remotely embedded maps or videos. Its resources are served by its own hosting infrastructure. The server may process technical data, including IP addresses and requests, to deliver pages and protect the service.
Hosting logs and retention: any technical logs are used to operate, diagnose and secure the website. They may contain the IP address, date and request details. They are deleted as soon as they are no longer needed and, at the latest, on 31 December of the year following their collection.
Transfers outside the European Economic Area and applicable safeguards: the website’s servers and backups made by Voxis Technologies are hosted in France. Email is hosted in Switzerland by Infomaniak. Switzerland is outside the European Economic Area and benefits from an adequacy decision by the European Commission.
Your rights
Under the conditions set out in the GDPR, you may request access to, rectification or erasure of your data, or restriction of its processing. Depending on your situation, you may object to processing based on legitimate interest. The right to data portability applies where its legal conditions are met.
To request deletion of your data or exercise your other rights, write to info@voxis.tech specifying the data concerned. We normally respond within one month. This period may be extended by two months if justified by the complexity or number of requests; you will be informed within the first month. Erasure may be limited where a legal obligation or the establishment, exercise or defence of legal claims requires certain data to be retained; the reason will be explained to you. If you believe your rights have not been respected, you may lodge a complaint with the CNIL.
Changes to this policy
This policy is updated when the tools used or the way data is processed changes.
